MINUTES OF THE ANNUAL MEETING JULY 17, 2010
CALLED TO ORDER AT 2:30 PM

Call to Order –Tom Swire
President Swire announced the meeting to order and stated that the polls were closed at this time.

Establishment of Membership Quorum – Monty Schultz
Monty Schultz, Elections Auditor, announced we did not have a quorum. We were 315 ballots short but is enough to hold a continuation meeting on Monday. President Swire adjourned the Annual Meeting at this time.
III. President’s Comments – Tom Swire
President Swire thanked Dianne Cruce and the Events Committee for putting on the YLP Birthday Party/Celebration held earlier that day. He noted, they didn’t think they would have difficulty with a quorum for Monday night, with 3 openings and 3 candidates.
IV. Announcement of Previous Executive Session – 7/13/10
President Swire stated the Board met in Executive Session on July 13, 2010 to discuss a small legal matter.
V. Committee Reports – Tom Swire
President Swire stated that he asked the Committee Chairs to prepare a report for the meeting relative to what their committees have done over the past year. He has received a Food & Beverage Committee report from Bob McDonough and one from the Environmental Control Committee.
ECC Committee – Tom Swire
Being Chairperson for the ECC, President Swire gave this report. He stated the ECC has been very busy. They had 3 new home plans in 2009 and only one new home in 2010. This year they’ve approved a half-dozen sheds, 3 pools, 5 fences, a new garage, landscaping plans, a spa, home addition, house color changes and quite a bit of disciplinary hearings on violations of the Declaration of Restrictions.
Food & Beverage Committee – Bob McDonough
Secretary McDonough listed the members as: Phil Farren, Al Clark, Michele Vargas, Kathy Kunz, Bryan Smith, Kathy Casey, Marty Pol, Sarge Willett and Bob Barr. He read the committee’s mission statement. He noted that the committee is here to help the F&B Manager and the General Manager. He stated that their main goal is to emphasize that the restaurant, the café and the lounge are amenities and are supported by our dues. Each family contributes $6 per month. He added that this contribution goes to help many events; LOL Events, weddings, banquets and Friday Night at the Lake, to name a few. He explained the corkage fee. If you bring a wine that the restaurant offers, the fee will be $12, if you bring in a wine the restaurant does not offer, the fee will be $8. They would negotiate the fee for a wedding. He stated the events that have been a success: Chef’s Table, they are trying to implement healthier foods at the Rec Ctr and pool, working to get a sign on Hwy 41 for the restaurant, pergola at the café. They are looking into having an ice cream social family night on Tuesday evenings at the café. They are moving the smokers away from the eating area outside the lounge to a new location (yet to be determined). They will be implementing a training school for the staff called: Be Prepared for Success Program and Market Awareness.
Communications Committee & Events Committee – Dianne Cruce
Director Cruce reminded the membership of the YLP Update at the local merchants within YLP. The Events Committee is trying to promote family friendly and affordable events. The committee got donations for the YLP Birthday Party from local merchants. They held the Xmas Tree Lighting, the Father/Daughter Dance in February. They are looking at October to have the Father/Daughter Minute to Win It event. They are always looking for new members, please let her know if you are interested.
Trail Committee – Al Clark
Director Clark stated they completed the North Blue Heron Lake Trail. He noted the neighbor’s concerns and that everyone is happy with the construction’s completion. He’ll be working on getting the resident’s approval on a couple new projects: 1. Long Hollow acreage as a walking and equestrian trail. He explained the danger along Long Hollow for equestrian usage. 2. Safety path along Corral for the children who get off the school bus.
President Swire passed along the library donation buckets to the Board members and audience for Sally Zitzman. President Swire presented a Certificate of Appreciation to past Director Elaine Loard. He read the certificate to the audience. He noted that a lot of items completed and/or started was because of her help, persistence and determination. Ms. Loard was on vacation and wasn’t able to accept the certificate at this time.
VI. ADJOURNMENT
The meeting was adjourned at 2:55 pm. The Annual Meeting Continuation will be held on Monday, July 19, 2010 at 6:30pm.
Sally Zitzman thanked everyone for the book donations. She explained the proceeds will go towards scholarship money.
